Timeless 3.0 manual web installaton

If you are installing on an ISP hosted server, see this article.

This article applies to both Timeless Time & Expense 3.0 web and Timeless Project Tracking 3.0 Web.

In some cases you may need to install Timeless 3.0 Web manually. One possible case is installing Timeless 3.0 Web in its own website, instead of in a virtual directory. To do so, follow these steps.

Install ASP.NET AJAX 1.0. Download and install ASP.NET AJAX 1.0.

Create or update your Timeless database. Download and run the standard installation for Timeless Time & Expense 3.0 web or Timeless Project Tracking 3.0 Web. De-select the Web Interface component. Select or de-select the database components as needed.

Installing the web application on your server. On your web server, create a virtual directory or website where you will place the web application. Download and unzip the Timeless Time & Expense 3.0 web or Timeless Project Tracking 3.0 Web to a this directory.

Configure the web application. Edit the web.config file to point to your database server by updating the following keys in the <appSettings> section. Replace the values with your settings.

Updating the web application. When you need to install the latest release, just download and unzip the web appliction to the website directory, except the web.config file.

Install Timeless 3.0 on a hosted web server

Even if you do not have an internal web server to use for time tracking, you may be able to use your shared hosting plan through your current internet service provider.

When installing a web application on a shared host at your internet service provider, you won't have access to the server or permissions to run an installation. You also will not have the access required to create user account on your SQL Server database. In a hosted scenario, Timeless Time & Expense Enterprise Web can be installed manually. If you are installing on your own server, you should use the Timeless 3.0 web installation - it will automatically setup Timeless 3.0 Web.

Verify your web host meets the requirements. You must have ASP.Net 2.0, ASP.Net Ajax 1.0 and SQL Server 2000, MSDE 2000, SQL Server 2005 or SQL Server Express 2005. You must also have the ability to create an application root for the Timeless Time & Expense Enterprise Web application.

Create the database schema on your database server. Download and run the utility to create a hosted Timeless Time & Expense database. You will run this utility locally connecting to your hosted database server. To run the utility you will need the name or IP address of your database server, the database name and the user id and password provided by your ISP to access the database server. If the you cancel the script or it fails, all changes will be rolled back.

Upload the Timeless web application to your server. Download and unzip the manual web installation to a local directory. On your web server, create a directory where you will place the Timeless Time & Expense web application. Upload the the web application from your local directory to the web directory.

Configure the Timeless Web application. Edit the web.config file to point to your hosted database server by adding the following keys in the <appSettings> section. Replace the values with your settings.

Create the web application. How this is accomplished is dependent on your hosting plan. If you do not know how to do this, you should contact your internet service provider for details.

Error reporting. If you are having difficulty getting Timeless web application running on your hosted server, you will not have access to the server event logs and by default, you will only see a standard error page when an error occurs. To display the errors to the browser, change the following line in your web.config file. Be sure to reset it back to RemoteOnly when your are finished.

Updating the web application. When you need to install the latest release, just download and unzip the web application to a local directory again. Upload all files except the web.config file.

What database should I use for Timeless 3?

This document is for users installing Timeless Time & Expense Enterprise Windows. If you are converting from MS Access so you can use Timeless Time & Expense Enterprise Web or will be installing Timeless Time & Expense Web alone or in additional to Timeless Time & Expense Enterprise Windows, see this article.

SQL Server 2000 or SQL Server 2005 is best if you already have it. It requires more database administration than Access, but if you have SQL Server 2000 or 2005 already, you already have the resources to administer it. It is much faster than Access, especially as the number of users and task items increase. Run the Timeless Time & Expense Enterprise for Windows installation to create the database on your SQL Server. Be sure your server is configured for SQL Server and Windows Authentication mode.

SQL Server 2005 Express is a free version of SQL Server 2005. This version is limited to using one CPU even in a multi-processor machine. There is also database size limit of 4GB. Database growth can vary greatly depending on how you use Timeless Time & Expense. We estimate anywhere from 1-10MB growth per user per year.

SQL Server 2005 Express is included and can be chosen as a database option during the installations of Timeless Time & Expense Web, Timeless Project Tracking Web, the Full installation of Timeless Time & Expense Windows and the Full installation of Timeless Project Tracking Windows.

If you are installing it yourself, be sure to select SQL Server and Windows Authentication mode. Once installed check that your SQL Server 2005 Express instance allows Remote connnections using TCP/IP. You check this with the SQL Server 2005 Surface Area Configuration tool. This should have been installed when you installed SQL Server 2005 Express.

You will also need to use a separate tool to backup your database.

MS Access is a good choice for installations with a small number of users and limited administration resources who will not be using Timeless Time & Expense Enterprise Web. We recommend larger installations use one of the other options. We do not recommend you go over 30 users with MS Access. Some installations may not be able to go that high - it could be as low as 15 users or lower. It depends a lot on how you use TT&E. A large task hierarchy (> 2000 items) can significantly impact performance of reporting. If performance becomes unacceptable, you can convert to MSDE, SQL Server 2000, SQL Server 2005 or SQL Server Express 2005. The main administrative task when using MS Access is to run the compact and repair the databse regularly using the Tools | Database | Compact & Repair menu item.

Convert 3.0 Access DB to SQL Server or MSDE

As your business grows you will want more users to track their time and expenses on more projects. As the demand increases, you may find the multi-user Access database is not performing as well as you would like. Access is limited in its ability to support a high number of users. SQL Server or MSDE can support more users.

To convert your Access Timeless Time & Expense or Timeless Project Tracking database to SQL Server or MSDE, you must first choose a SQL Server Timeless database option described in this article and create an empty SQL Server database using the Timeless installation.

Next, run the Convert 3.0 Access DB to SQL Server or MSDE utility. You must have already upgraded your access database to version 3.x to use this utility.

After creating the databse, you should not run Timeless Time & Expense or Timeless Project Tracking before running the conversion.

Finally, use the File | Open menu item in Timeless to select the new database type and location.

Custom Reporting in Verison 3

Because Timeless Time & Expense 3 and Timeless Project Tracking 3 use a relational database to store information, you can use other tools to do customized reporting. In Personal mode, a MS Access database is used. In Enterprise mode, you may have chosen either an Access or SQL Server database.

There are many different ways to access the data depending on the tool you use. Here are four possibilities. These are general descriptions because different versions of Windows will be slightly different. However, it should be enough information for an experienced developer to accomplish the task.

Using SQL Server
Use a ODBC Datasource
1) Open the ODBC Administrator through the Control Panel. This may be called Data sources and may be under the Administrative tools.
2) Add a new DSN using the SQL Server driver.
3) Select your Instance where you installed the Database.
4) Specify Timeless as the SQL Server database
5) The user id is "TTEguest". Please contact support for the TTEguest password.

Using MS Access
Use a ODBC Datasource
1) Open the ODBC Administrator through the Control Panel. This may be called Data sources and may be under the Administrative tools.
2) Add a new DSN using the Microsoft Access (*.mdb) driver.
3) Select your Timeless.tmd3 as the Database.
4) Select the option to use a System Database and select Timeless.tmw3 from the same directory as in step #3.
5) The user id is "TTEguest". Please contact support for the TTEguest password..

Using Access to Link to or Export data from TT&E - Access does not allow connecting to another Access database through an ODBC datasource. You will need to use the TT&E security database with your other Access database.
1) Create a new database through Access.
2) Close Access and the new database
3) Create a shortcut to the multi-user timeless database with the following target. on one line: "C:\Program Files\Microsoft Office\Office\MSACCESS.EXE" "PathOfNewDatabase/NewDatabase.mdb" /WRKGRP "NetworkLocation\Timeless.tmw3"
4) The user id is "TTEguest". Please contact support for the TTEguest password.

Using ADO in the development tool of your choice
1) Use the following connect string substituting where appropriate.
"PROVIDER=Microsoft.Jet.OLEDB.4.0;Data Source=""NetworkLocation\Timeless.tmd3"";Persist Security Info=False;Jet OLEDB:System database=""NetworkLocation\Timeless.tmw3"";User ID=TTEGuest;Password="
2) Please contact support for the TTEguest password.

To change the guest password (requires MS Access):
1) Create a shortcut to the multi-user timeless database with the following target. on one line: "C:\Program Files\Microsoft Office\Office\MSACCESS.EXE" "NetworkLocation\Timeless.tmd3" /WRKGRP "NetworkLocation\Timeless.tmw3"
2) Open the new shortcut
3) Select the Tools | Security | User and Group Accounts menu item.
4) Select the Change Logon Password tab. Enter the new password.

NetworkLocation = the path to the Timeless.tmd database

*Note - TT&E relies on database being in a predictable, consistent state. If data modifications are done directly, there are no guarantees they are made correctly. Therefore, we do not not allow it and cannot support users who attempt to modify data outside of Timeless.

Repair corrupted .Net Framework

Timeless Time & Expense and Timeless Project Tracking 3 use the .Net Framework. The .Net Framework is part of Windows. On some versions of Windows it is included, in others it is installed as part of Windows update or by another application that requires it.

In some cases, the .Net Framework becomes corrupted. This will usually be indicated by an error you receive when starting Timeless Time & Expense or Timeless Project Tracking. Depending on the particular corruption, it may be resolved in different ways. We'll walk through the most common ways to fix the corruption.

System.EnterpriseServices.Wrapper.dll
One of the most common forms of .Net Framework corruption produces the error "Could not load the file or assembly 'System.EnterpriseServices.Wrapper.dll' or one of its dependencies". To correct this:

Log into Windows as an Administrator if you do not have Administrator permissions.
Open a Windows File Explorer window and go to the C:\Windows\Microsoft.NET\Framework\v2.0.50727 folder.
Open a second Windows File Explorer window and to the C:\WINDOWS\assembly folder.
Drag the file System.EnterpriseServices.dll from the window in #1 to file list on the right in #2.
If you received the error message trying to convert a *.tls file, delete the resulting *.tmd3 and *.tmw3.
Run Timeless Time & Expense or Timeless Project Tracking 3.

Uninstall and re-install the .Net Framework
On some systems you can uninstall and re-install the .Net framework using the Windows Control Panel Add\Remove Programs (or Programs and Features). Timeless uses the .Net Framework 2.0.

Start by removing the .Net Framework 2.0 or the .Net Framework 2.0 Service Pack. If you are not able to remove version 2.0, you can attempt to remove version 3.5 or 3.0 because they also contain version 2.0. We recommend you remove versions 3.5, 3.0 and 2.0 in descending order.

If successfully removed any of the above versions, use the Windows Update to reinstall version 3.5 or version 2.0 - which ever was the highest version you successfully removed. Because version 3.5 includes version 2.0 and 3.0, you need only reinstall version 3.5.

Repair the .Net Framework
If neither of the above methods worked, you can try to directly repair the .Net Framework 2.0.

This document from Microsoft contains instructions on how to repair the .Net framework. The section we are interested in is titled "Repair the .NET Framework 2.0". They list three ways to repair it. Try the first one titled "Use the Repair command on the Windows Installer cache file".

Note, when we followed the instructions, we saw some differences. In step #3, our installation had a comment of "Microsoft .Net Framework; Copyright Microsoft Corporation, All Rights reser". There was more than one with this comment, so when the repair starts watch the title bar. If it does not say "Microsoft .NET Framework 2.0 Service Pack 2" then cancel it.

As above, if you received the error message trying to convert a *.tls file, delete the resulting *.tmd3 and *.tmw3 before starting Timeless again.

It didn't work, now what?

Using Timeless Windows and Web together

The Web interface can be used with the Windows interface of Timeless Time & Expense or Timeless Project Tracking. However, it cannot use MS Access as a database option.

If you are using MS Access, you must first install one of the other database options and convert your database. Reinstall Timeless Time & Expense Enterprise Windows, selecting the new database. Be sure all clients are connecting to the new database.

Finally, install the web version of Timeless Time & Expense or Timeless Project Tracking, selecting the same database as the Windows interface uses.

Lost registration

Fill out our registration resend form using the e-mail address of your original order to have your registration automatically sent.

If that address is no longer valid, fill out our support form indicating the original e-mail address you used when you ordered. If that e-mail is no longer active, please include that e-mail in your message as well as the address or phone number used when ordering. Please allow 24 hours to manually process your request.

Do I need more licenses?

This depends. Timeless Time & Expense allows you to inactivate users who no longer need access TT&E. This means you can re-use licenses for employees who have left your company.

Any administrator can use the Tools | Users menu item to activate or inactivate users. You can also see the total number of active and registered users. When the number of active users exceeds the number of registered users, you will need to purchase more licenses before adding users.

Time entries missing

When it seems time entries are missing, it is usually because you are using a different View than normal. There two view modes, Date and Task. When in date view, entries are displayed for the date selected in the calendar. When in task view, entries are displayed for the selected task.

When restarting Timeless Time & Expense in a different view than normal, the entry list may show blank when starting in task view because the top level task item is selected. In date view the same can happen if not entries have been made for the current day.

To check if this is the problem, click the View menu to see which view is selected. The view selected is also shown by the Task and Date view buttons on the toolbar.

Adding user licenses

Multiple license numbers may be combined to increase the number of active users. When placing an order for additional licenses, be sure to use the exact registration name as the Company Name on the order form. This will ensure license work together.

If you've already placed and received your order but the licenses do not work together, contact support to have your license number re-issued.

Set a single user rate for all clients

To complete this task, you must have the required permissions of Administrator and Maintain Billing. To set a single user rate for all clients, you should first change your task levels so you have a top level above your current top task level. Select the menu item Tools | Options, then on the Task Levels tab, rename each task level, moving them down. Set the top level to your new name. Press OK. Next create a new top level task with your company name or whatever is appropriate. Then drag your existing tasks to the new top level. TT&E will prompt you because it will adjust the task levels of the moved tasks. Finally, enter billing rates for the top task and set the sub tasks to Use Parent Billing Information.

What is an ''active'' user?

An active user is someone who is able to log into Timeless Time & Expense multi-user. You decide who can log in be setting users 'active' in their properties. User properties are found by selecting menu item Tools | Users, then editing a user. We provide the ability to make a user inactive, so you don't waste a license on a user who no longer uses TT&E. This way you can keep all the entries the user made and continue to get accurate reports.

How do I transfer data to another pc

Download and install the latest version of Timeless Time & Expense Personal on the new pc.

The single user data files use the extension tls. The name of the file is displayed in the title bar when running TT&E. This is the file you need to copy between machines. By default this file is stored in My Documents folder. If you saved it somewhere else, you will have to use the windows search feature to find it. When searching, be sure to append ".tls" to the name if is not displayed in the title bar.

If you are transferring the data file because you are moving to new pc, you will not want to create a new file when you first open TT&E. To do this, cancel at the new user prompt, then use the File | Open menu item to open the transferred file.

Move TT&E database to a new server

Occasionally, you will have the need to move your SQL Server database to a new server. To move a database, you will need SQL Server Enterprise manager or another MSDE administration tool.

Before any database major database maintenance, be sure to backup your database!

If you are using MSDE, run the Timeless MSDE installation. After the installation has completed, use SQL Server Enterprise manager or your choice of MSDE administration tools to detach the Timeless database from the TIMELESS_MSDE database server.

Detach the Timeless database from the old server. Next, copy the Timeless database from the old server to the new server. If using TimelessMSDE, you will copy over the database files on the new server. Now, attach the copied database to the new server. Finally, run the Reset TT&E SQL Server database utility to reset user names and passwords.

To point Timeless Time & Expense Enterprise for Windows to the new server, rerun the installation on each client to select the new database server. If you are comfortable modifying the Windows registry, you can change the HKEY_CURRENT_USER\Software\MAG Softwrx\Timeless Time & Expense Multiuser\Database\LastDatabaseServer key to point to the new server.

To point Timeless Time & Expense Enterprise for Web to the new server, modify the web.config file on the web server and change the <appSetting> databaseLocation key to the new server.

What database should I use for TT&E?

If you are using SQL Server 2005 Express and Time & Expense Enterprise Windows you will not be able to create the database using the included installation and must use this utility to create the database on your server. However, the Web version will create the database on SQL Server 2005.

Timeless MSDE is a free version SQL Server 2000 with some internal limitations. There is a limit of 5 concurrent database processes executing simultaneously and a 2GB database file size limit. This usually will not have an impact even in large installations. Database growth can vary greatly depending on how you use Timeless Time & Expense. We estimate anywhere from 1-10MB growth per user per year. You will need to use a separate tool to backup your database.

MS Access is a good choice for installations with a small number of users and limited administration resources who will not be using Timeless Time & Expense Enterprise Web. We recommend larger installations use one of the other options. We do not recommend you go over 30 users with MS Access. Will there ever be a Mac version of Timeless Time & Expense?

Currently, a native Mac version is not planned. However, we continually monitor the marketplace and will reevaluate a Mac version periodically.

Timeless Time & Expense Enterprise web supports Mac browsers.

Installing Timeless Time & Expense Enterprise Web on XP Pro

Timeless Time & Expense Enterprise Web installed on Windows XP Professional may encounter problems due to the default limit of 10 connections to IIS. This limit may appear as random occurrences of missing images or the web application not responding to actions on the task hierarchy, calendar or entry list.

The connection limit can be raised as high as 40 to reduce or eliminate these problems. There are many articles with instructions on how to increase the limit. If this does not eliminate the problems, you will need to move to one of the other options.

Backup your MDSE database

It is very important you backup your MSDE database. It is important to understand, the database file is in-use by the database server at all times. This means a file based backup utility will not backup the database correctly. You must use a tool specifically made to backup SQL Server/MSDE database.

In addition to backing up your database, it is always good practice to periodically restore the database to make sure your backups are successful. You should not restore to your Timeless MSDE server, but to a different MSDE server.

There are 4 choices for backing up your Timeless MSDE database. In all cases, an administrator on the server machine can use Integrated security to backup the database.

Microsoft SQL Server Enterprise Manager
If you have SQL Server, you can use Enterprise Manager. You already have it and are most likely backing up other database, so use it. Talk to your database administrator and have them assist you.

Microsoft SQL Server Management Studio Express
This is a free download for managing SQL Server 2005 Express, but it will also manage MSDE databases. If you are receiving insufficient access rights errors when backing up using SQL Server Management Studio Express, this article may help.

Third-party MSDE management tools
These tools are much like Enterprise Manager, but for companies without SQL Server, they are often less expensive. There are many to choose from. Because they use the MSDE Server, they have similar functionality. Pick the one that works best for you.

Microsoft Access 2000 or later
If you have Access 2000 or later, you can use it to backup your database. However, the backup cannot be scheduled. We highly recommend the backup be scheduled. All too often, manual backup do not take place because there are always more pressing priorities. But if a backup is needed and you want to be sure it is current. See the Microsoft Access help for details.

OSQL
Osql is a command line utility for issuing commands to SQL Server\MSDE. This is by far the least expensive and most flexible solution. However, it is much more complex and error prone than the other options. You can find Osql at \Program Files\Microsoft SQL Server\80\Tools\Binn on the machine the Timeless MSDE server was installed on. Here is an article to assist you in using Osql.

Enterprise Web for Personal Windows users

Timeless Time & Expense Personal data files may be imported into Timeless Time & Expense Enterprise Windows. However, because each data file contains its own task hierarchy it is not practical to import and consolidate many Timeless Time & Expense Personal data files. For that reason, if you have many data files, we recommend starting clean or only importing one file.

Install Timeless Time & Expense Enterprise Web using one of the available database options. Open the Timeless web application in your browser and complete the setup wizard.

Install Timeless Time & Expense Enterprise Windows. Use the File | Import Single-user File menu item to import each Timeless Time & Expense Personal data file (*.tls). If needed, reorganize or consolidate your hierarchy. When complete you may uninstall Timeless Time & Expense Enterprise Windows if you only use the web version.

What database should I use for TT&E Web

SQL Server 2000 or SQL Server 2005 is best if you already have it. You will create the Timeless database on your server during the installation of Timeless Time & Expense Enterprise Web.

You will install the Timeless MSDE database server and create the Timeless database during the installation of Timeless Time & Expense Enterprise Web. The Timeless MSDE database does not have to be installed on your web server. You may run the Timeless Time & Expense Web installation first to create the database server on one machine, then run the installation again on your web server to install the web application.

Enterprise Web for Enterprise Windows users

Timeless Time & Expense Enterprise Web can be used with the Windows version of Timeless Time & Expense Enterprise. However, it cannot use MS Access as a database option.

Finally, install Timeless Time & Expense Enterprise Web, selecting the same database as Timeless Time & Expense Enterprise Windows.

Convert Access TT&E database to SQL Server

To convert your Access Timeless Time & Expense database to SQL Server or MSDE, you must first create a SQL Server Timeless database as specified in this article.

Next, run the Timeless Access to SQL Server (or MSDE) database conversion. You must have already upgraded your access database to version 2.x to use this utility.

During the conversion, user passwords will be reset. You will have to reset the user passwords after conversion.

You should not run Timeless Time & Expense before running the conversion. If you do, DO NOT create sample tasks - the target database must be empty.

Finally, re-install each Timeless Time & Expense Enterprise on each pc, selecting the new database type and location.

Use Enterprise(multi-user) as single-user

You can use the Timeless Time & Expense Enterprise Windows for only a single user. You can even use your existing single user license number. However, if you want to add additional users or use Timeless Time & Expense Enterprise Web in the future you will have to purchase new multi-user licenses.
